Privacy Policy

Effective October 8, 2026

FaithLoop is PIWC Chicago North’s private church-management app. We use your information to respond to requests, support church activities and provide authorized account access. We never publish Welcome Team submissions or sell personal information.

What we collect

The “Connect with our church” form collects your name, email and ministry interest. You may also provide a phone number and first visit date. We record your permission to be contacted and the follow-up history connected to your request.

Member and staff accounts contain a name, username, contact email, assigned roles and access settings. Passwords are stored as protected hashes rather than plain text. Account use can create security and activity records. If you enable phone notifications, we store a device subscription and your notification choices. To limit misuse of the public form, we store a hashed network address and submission time.

Why we use it

We use Connect submissions for Welcome Team follow-up about your request and ministry interest. Submitting the form does not create a member login or a public profile. Account information lets authorized members and staff sign in, receive appropriate access and coordinate people, ministry teams and service planning.

Who can see it

Only authorized Welcome Team staff, including administrators responsible for that workflow, can view your Connect request through the app. It is not visible to the public or ordinary members. Other account and church records are available according to the person’s assigned role and workspace permissions.

Our hosting and storage providers process information to operate the app. Church-managed backups may contain copies of records. These copies require authorized administrative access and are not intended for public sharing. Google receives identity information only if the administrator chooses Google sign-in.

How long we keep it

Welcome requests and follow-up records are kept while needed to respond to you and maintain the church’s follow-up history. Account records are kept while access is active and for as long as needed for church administration or security. There is currently no fixed automatic deletion period; you can request deletion at any time.

When a deletion request is approved, we remove information from active records unless it is still needed for a legitimate recordkeeping or security purpose. Copies in backups may remain until those backups are replaced or deleted. We will explain any information we need to retain when responding to your request.

Cookies and device preferences

FaithLoop uses essential cookies for sign-in, account security and administrator preview sessions. We do not add advertising or analytics cookies. Your device may also save appearance, app-installation and notification preferences. Optional administrator Google sign-in uses Google’s identity service, which may set its own cookies under Google’s policies.

Your choices

You can ask to see your information, correct it, delete it or stop Welcome Team contact by emailing Kwasi.Ameyaw@copusa.org. Please tell us the name and email used for your request or account. We may ask you to confirm your identity before changing or releasing information; do not email your password.

You can change account details and notification preferences in My Account. You can also turn off phone notification permission in your device settings.
